Privacy policy
This document covers two separate things: what the website collects, and who owns the data inside the system. They should not be confused.

1. The website: erpona.app
The site is static. None of the following exist:
- Analytics platforms (Google Analytics and the like)
- Advertising or tracking pixels
- Cookies - none are set
- Third-party scripts and fonts - every file is served from our own server
Server logs
Like any website, the web server writes requests to a log: IP address, timestamp, the page opened, the site you came from and the browser name. This is a technical necessity - there is no other way to see a fault or an attack.
Visit statistics are derived from that same log: how many pages were opened, which ones, which language version, phone or desktop. Nothing is added to the site for this - no script, no pixel, no cookie. The statistics are read from our own server log and are never sent to any outside service.
Logs are kept for 180 days and then deleted automatically. They are not used for advertising or profiling.
Measurement - our own script
The site runs our own measurement script (olcu.js,
served from our server). It reports three things: the page you opened,
the seconds you spent on it and how much of it you saw. A few clicks are
also counted - demo request, calculator, e-mail and phone.
No cookie is set. The visitor number is a hash that rotates daily on the server: one browser for one day, never a person. The next day the same browser gets a completely different number, so following you across days is not possible.
The data goes only to erpona.app - our own server - and is never passed
to any outside service. If Do Not Track is enabled in your
browser, the script sends nothing at all.
Calculators
The calculations on the calculators page run entirely in your browser. The salary or amount you type is not sent to a server and is not stored anywhere.
Chat on the site
The chat window in the bottom right is our own system - no third-party widget service is used. What you write is stored on our server and forwarded to our Telegram bot. A person answers; there is no bot.
No cookie is set. The chat key is kept in your browser's
localStorage - unlike a cookie it is not sent with every
request and is read only when you open the chat. The key is a random
string: it does not identify you, it only lets the same browser see
the rest of the conversation. Clear your browser data or use another
device and the chat starts fresh.
Technical data is stored with the message: IP address, browser name, the page you were on and the country/city derived from the address. A conversation is deleted after one year.
The demo form
The form is sent to our own server. What you type - name, company, contact, industry, number of users and note - is stored there and forwarded to our Telegram bot so we learn about the request. It goes nowhere else: no third-party form service, CRM or advertising platform is used.
This data is used only to answer your request. A request is deleted after one year; to have it removed sooner, write to info@erpona.app.
Three things are checked against spam: that a field invisible to humans stayed empty, how long the form took to fill in, and how many requests came from one address. There is no CAPTCHA - it is a third-party script and would break the promise above.
2. The system: an ERPONA installation
The data inside the system - your customers, your staff, your documents - is yours. We do not own it.
Where it is stored
The system can be installed on your own server or on one we manage. The choice is yours and is written into the contract. Either way you can request a full copy of the database (PostgreSQL dump plus the file store) at any time.
Our access
If the server is managed by us, technical support access exists and is set out in the contract. If it is on your server, access exists only when you grant it.
Retention
The system has a retention mechanism: a document cannot be deleted before its period is over, and once it is over the document is archived, not deleted. You set the period in line with the law.
Personal data
The system holds employee and customer data. Responsibility for collecting and processing it rests with you as the data owner; the system makes that technically possible through role-based access, row-level restrictions and an audit trail.
